Privacy Policy
Effective Date: May 11, 2026Movie Night Polls (“we,” “our,” or “us”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, share, and protect information when you use our website, mobile-friendly web app, public API, and our official chat-platform integrations such as the Discord and Slack bots (together, the “Service”). By using the Service you agree to the practices described here.
1. Information We Collect
Account information. When you create an account we collect your email address, display name, and (for password-based sign-in) a password managed by Firebase Authentication. We never see or store your password in plaintext.Profile and preferences. Your messaging preferences (e.g. whether you want emails when votes are submitted or when polls close, and whether you want product update emails), plan status, and any other settings you configure in your account.
Poll and vote data. Polls you create (titles, descriptions, movie options, tags, settings), votes you cast, and any drafts you save. If you sign in before voting, your vote is associated with your account and may be visible to the poll creator.
Payment information (Pro plan). Payments are processed by Stripe. We do not receive or store full payment card numbers. We store a Stripe customer identifier, subscription status, renewal dates, and limited card metadata returned by Stripe (such as the card brand and the last four digits) so we can show your billing details and manage your subscription. Stripe’s handling of payment data is governed by its own privacy policy.
Chat-platform integration data. If you use the Discord, Slack, or other chat-platform integrations, we collect and store:
• the platform user ID of the person running a command, used to link the chat account to a Movie Night Polls account;
• for Slack, workspace (team) ID, team name, the installing user’s ID, granted scopes, and the workspace bot token issued to us by Slack during OAuth (used to post and update messages in your workspace on your behalf);
• channel IDs and message IDs of poll-related messages posted by the bot, so we can update them when votes are cast and announce the winner when the poll closes;
• the contents of commands and interaction payloads that the platform sends us (for example a slash command, button click, or modal submission) for the limited time needed to process them.
We do not read the rest of your channel history, direct messages, or server members. We only request the minimum permissions the bot needs to function.
API tokens. If you generate a personal API token for our public API, we store a one-way SHA-256 hash of the token plus a short non-secret prefix used for display. The plaintext token is shown to you once at creation and never persisted by us.
Communications. If you email support, share feedback, or fill out a form, we keep that correspondence so we can respond and improve the Service.
Cookies and similar technologies. We use cookies and local browser storage for sign-in sessions, to remember which polls you have already voted on, to remember preferences such as dark mode, and for basic analytics (see Section 8).
Automatically collected information. When you use the Service, our hosting and analytics providers may automatically receive limited technical information such as approximate IP address (used briefly for security, abuse prevention, and to route requests), browser and device type, referring page, and timestamps. We use this in aggregate to keep the Service running and to detect abuse.
2. How We Use Your Information
We use the information we collect to:• provide, operate, and improve the Service, including creating, sharing, and voting on polls;
• let chat-platform integrations like the Discord and Slack bots post polls, record your votes, and announce winners on your behalf;
• deliver transactional emails (such as password resets, welcome emails, vote notifications, poll-closed notifications, and poll-share invitations) and, where you have opted in, product update emails;
• process subscriptions, billing, renewals, cancellations, and tax where applicable;
• authenticate requests to our public API and enforce usage limits;
• suggest movies, generate vibe descriptions, and curate poll metadata using AI features (see Section 4);
• protect the Service against fraud, spam, abuse, and security issues; and
• comply with legal obligations.
3. How We Share Your Information
We do not sell your personal information. We share it only as described below:Service providers (processors). We rely on trusted third parties to run the Service, including Google Firebase (authentication, database, hosting, cloud functions), Stripe (payments and subscription management), Resend (transactional email), Discord and Slack (when you use those integrations), and movie metadata providers such as TMDB and OMDB. They access only the data needed to perform their service and are bound by their own privacy and security obligations.
AI providers. Certain optional features — such as AI-assisted movie suggestions, vibe descriptions, and poll metadata curation — send prompts to third-party AI providers. We do not knowingly send personally identifying account details in these prompts beyond what you typed (for example, a vibe you described).
Other users (by design). Polls are public by default. The poll title, description, options, your display name as the creator, and aggregate vote counts are visible to anyone with the poll link. If you vote while signed in, the poll creator can see which option you chose along with your display name. Pro users may have access to private polls and other Pro-only visibility controls.
Chat platforms. When the bot posts a poll in a Discord channel or Slack channel, the poll content and live vote tallies are visible to everyone with access to that channel, as determined by the platform.
Legal and safety. We may disclose information if we believe in good faith that disclosure is required by law, legal process, or to protect the rights, property, or safety of Movie Night Polls, our users, or the public.
Business transfers. If we are involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction, subject to the protections of this Policy.
4. AI and Automated Processing
Some features use AI to enrich your experience, including suggesting movies, suggesting a vibe or theme, and generating poll metadata. These features send prompts to third-party AI providers. AI output may be inaccurate — you should review it before relying on it. We do not use AI features to make decisions that have legal or similarly significant effects on you.5. Email and Notifications
We send certain emails that are essential to operating the Service (such as password resets, security notices, billing receipts, and critical account messages); you cannot opt out of these while you have an active account. Other emails — such as notifications when a vote is submitted, when a poll closes, poll-share invitations, and product update emails — are governed by your messaging preferences, which you can change in your account settings at any time. Every marketing email also contains an unsubscribe option.6. Pro Subscriptions and Payments
The Pro plan is billed through Stripe. We do not store full card numbers, CVCs, or bank account numbers. Stripe processes your payment information on our behalf as a processor and may store and use it as a controller for its own purposes (such as fraud prevention) under its privacy policy.7. Chat-Platform Integrations
When you install a chat-platform bot (Discord, Slack, etc.), we receive only the information and permissions you and the platform grant us during the install flow. Workspace bot tokens are stored securely and used only to post and update poll messages and respond to user interactions. You can uninstall the bot at any time from the platform; doing so revokes our access. Once revoked, we retain only the historical data necessary to keep existing polls and audit logs intact, unless you request deletion under Section 11.8. Analytics and Cookies
We use cookies and similar technologies for sign-in sessions, per-poll vote tracking (so a guest cannot trivially vote more than allowed), remembering preferences such as dark mode, and basic analytics to monitor performance, errors, and usage patterns. You can control cookies through your browser settings; disabling them may break parts of the Service such as sign-in.9. Data Retention
We retain your information for as long as your account is active or as needed to provide the Service. If you delete your account, we will delete or anonymize personal data within a reasonable timeframe, except where we are required to keep it for legitimate business or legal reasons (for example, billing records, fraud prevention, or compliance with tax law). Polls, votes, and comments associated with deleted accounts may be retained in anonymized form so that the underlying poll continues to make sense for other participants. Bot installation records and audit logs may be retained for a reasonable period for security and abuse-prevention purposes.10. Security
We use industry-standard administrative and technical safeguards (such as TLS in transit, hashed credentials, hashed API tokens, and access-controlled databases) to help protect your information. No system is perfectly secure, however, and we cannot guarantee absolute security. If we become aware of a security incident affecting your data, we will notify affected users as required by applicable law.11. Your Rights
Subject to applicable law, you may have the right to:• access, correct, or update your personal information;
• request deletion of your account and the personal information associated with it;
• obtain a copy of your data in a portable format;
• object to or restrict certain processing;
• withdraw consent where processing is based on consent; and
• lodge a complaint with your local privacy regulator (for example, the Office of the Privacy Commissioner of Canada or your provincial equivalent).
